Booking terms

The terms of your journey

Last updated 28 October 2026

We have written these terms in plain language. Your proposal and booking confirmation set out the details of your own journey; where they differ from this page, they take priority. If anything is unclear, ask us before you book: hello@himkora.com.

Booking and payment

Your journey is confirmed when we receive your signed booking form and a deposit of 30% of the journey price, and we send you a written confirmation. The balance is due 90 days before your journey begins. If you book within 90 days of travel, the full price is due when you book.

If the balance is not paid on time, we will remind you, and may then treat the booking as cancelled by you, with the charges below.

Your price

Prices on this website are a guide, quoted in US dollars per person, for two people sharing a private journey. Your proposal gives one clear price for your dates, group and choices. Once your journey is confirmed, we will not add surcharges for currency movements or our own costs.

The exception is government charges outside our control: if the Government of Nepal raises permit, park or visa fees, or a new tax applies, we may pass on the exact difference, with evidence. If the increase is more than 8% of your journey price, you may cancel with a full refund.

If you cancel

Please tell us in writing. Charges depend on how far ahead you cancel, counted from the first day of your journey:

When you cancelCharge
More than 90 days before travelYour deposit
90 to 61 days50% of the journey price
60 to 31 days75% of the journey price
30 days or less100% of the journey price

If an airline, hotel or helicopter operator has charged us non-refundable costs on your behalf that are higher than these charges, we will show you those costs before you confirm. Travel insurance usually covers cancellation for reasons such as illness, so please buy it as soon as you book.

You may change your dates or route once without charge up to 90 days before travel, if we can rebook the same standard. Later changes may carry the actual costs of making them.

If you leave a journey early, or miss part of it, we cannot refund the unused parts, though we will always try to recover what we can for you from hotels and lodges.

If we change or cancel

We plan journeys months ahead, and sometimes a lodge, flight or route changes. If we need to make a significant change before you travel, such as a different route or a lower standard of room, we will tell you as soon as we know and offer you the choice of accepting it, taking an alternative journey, or cancelling with a full refund.

We will not cancel your journey for commercial reasons once it is confirmed. If we ever have to cancel for reasons outside our control, such as a natural disaster, civil unrest or a government travel advisory against travel to the area, we will offer you a new date or a full refund of what you have paid us, less any costs we cannot recover and show you.

Weather, flights and the mountains

The Himalaya sets its own timetable. Mountain flights, especially to Lukla and Jomsom, are often delayed or cancelled by weather, and in busy months Lukla flights may leave from Ramechhap, about four hours' drive from Kathmandu. Our itineraries include spare time for this, and your host will rearrange the days around it.

Your safety comes before the itinerary. Your guide may change the route, slow the pace, stop the ascent or arrange a descent because of altitude, weather, trail conditions or your health, and their decision is final. We will always explain why. Changes made for safety are not a breach of these terms.

If delays need extra nights, a charter helicopter or other services that are not in your journey price, we will tell you the cost before we book them. These costs are often covered by travel insurance.

Travel insurance

Insurance is a condition of booking. Your policy must:

  • cover trekking to the highest altitude on your itinerary (up to 6,000 metres for our high routes);
  • include emergency medical treatment and helicopter rescue and evacuation;
  • include repatriation to your home country; and
  • ideally, cover cancellation and travel delay.

We ask for your policy details before you travel and share them with our team in Nepal so we can act quickly in an emergency. If a rescue is needed, we will arrange it first and work with your insurer afterwards. You remain responsible for costs your insurer does not cover.

Health and fitness

Before you book we send a short health questionnaire. Please answer it fully and tell us about anything that could affect you at altitude or on long walking days. We may ask for a doctor's note, suggest a different journey, or, rarely, decline a booking if we believe a route is not safe for you. Information you share is used only to keep you safe; see our privacy notice.

Children are welcome. The minimum age is 8 on our family journey and 10 on routes that sleep between 3,000 and 4,000 metres and on the Everest Helicopter Tour. We do not take children under 16 above 4,000 metres.

Passports, visas and permits

Your passport must be valid for at least six months after you arrive in Nepal, with a blank page for the visa. Most visitors can buy a tourist visa on arrival; we will tell you what applies to you. We arrange every trekking permit, park fee and restricted-area permit your journey needs, using the passport details you send us.

On the journey

We ask you to follow your guide's advice, respect local customs and the places you visit, and keep to the laws of Nepal. If someone's behaviour puts others in danger or seriously disrupts the journey, we may end their journey without refund.

Our responsibility

We are responsible for arranging and providing the services in your confirmed itinerary with reasonable skill and care, whether we provide them ourselves or through the hotels, lodges, airlines and drivers we choose. We are not responsible where something happens because of your own actions, the actions of someone unconnected with your journey, or events we could not have foreseen or avoided despite taking all reasonable care.

Airlines and helicopter operators carry you under their own conditions and international conventions, which may limit what they pay. Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, or any rights you have by law.

If something is wrong

Please tell your guide or host straight away, so we can put it right while you are still there. If you are not satisfied, write to us within 30 days of returning home at hello@himkora.com, and the founder will reply personally.
