How we look after your details

Last updated 28 October 2026

What we collect

When you enquire, we collect what you tell us: your name, email address, travel dates, who is travelling, the journey you're interested in, your budget and any message. If you book, we also collect what we need to arrange your journey safely, such as passport details, dietary needs, health information relevant to altitude, insurance details and emergency contacts.

Our website records basic, anonymous usage statistics through Cloudflare Web Analytics, which does not use cookies or track you across other sites. If you accept analytics cookies in our notice, we also use Google Analytics, loaded through Google Tag Manager, to see which pages help travellers plan. It sets cookies and sends usage data to Google. If you decline, nothing from Google is loaded, and you can change your choice at any time with “Cookie settings” in the footer.

How we use it

We use your details to reply to you, prepare your proposal, arrange your journey, and keep you safe while travelling. If you join our mailing list, we send occasional notes about new journeys; you can unsubscribe at any time. We never sell your details.

Who we share it with

We share only what is needed with the people who make your journey happen: our team and guides in Nepal, the hotels, lodges and airlines you will use, and your travel insurer if you need help. We also use trusted service providers to run our business: Cloudflare (website and forms), Google Workspace (email), HubSpot (our customer records), Make (which moves enquiries between these tools), and an AI service that helps us draft our first reply to you. A person at Himkora reads and approves every reply before it is sent.

How long we keep it

We keep enquiry details for up to two years, and booking records for as long as the law requires for tax and travel regulation. During a trek your guide records your blood oxygen and pulse every morning and evening so we can keep you safe; these readings go into a short care report we send you after the journey, and we keep it with your booking record. Other health information is deleted after your journey ends, unless there was an incident we need to record.

Your choices

You can ask to see, correct or delete the details we hold about you, or ask us to stop contacting you, at any time. Email hello@himkora.com and we will reply within 30 days. Depending on where you live, laws such as the GDPR, the UK GDPR or the California Consumer Privacy Act give you these rights, and you can also complain to your local data protection authority.
